Dee Dee welcomed Dr. Wade Shaw to the committee.

Guidelines

The Guidelines were reviewed and implementation was discussed. Points of discussion included:

¨       Need for a timetable for implementation – one year is the recommendation for departments to revise pages.

¨       Although there is university web master there is a need to establish a contact person for each unit's pages.

¨       There should be a common look on at least the first page for each unit

¨       University Pubs is working on developing a template that has the necessary objects to build a “first” page.

¨       A table of “common links” should be built

¨       Web Services has a pre-production system in place for testing and review of pages before they go “live”.    There can be a peer or unit review of these pages.

¨       Dee Dee will contact Dr. Shoaff to discuss Web Design classes. This training could give departments and units an additional resource in developing and updating their pages.

¨       There was discussion about the University catalog and the best way to link to it and to make its contents more intuitive and accessible. Units should not create their own copy of the catalog.

¨       There was discussion about the campus calendar and including academic information on it. Kate agreed to work with the Registrar's Office to get this information posted on the EMS calendar.

¨       The following changes were made to the Standards for Official Pages:

#3 - each unit homepage should contain an email contact address, surface mail address, fax and telephone number(s)

#5 – added “catalogue information” in the parentheses

#9 – new standard, Official University pages will be reviewed on an annual basis.

Site Review

Marco reviewed most of the pages on the Florida Tech web site and presented a list of “Inaccuracy on Fla Tech pages” to the committee.

Old Business

Dr. Shaw asked how the academic units post on the University web server. Answer – they request access through Web Services, presently about 50% of the campus units have their pages located on the University web server. It was recommended that it be mandatory that all units post their pages on this server so they can be better managed and accounted for.

New Business

1.       Athletics requested they be allowed to advertise on their pages. The request was tabled. It was suggested that Bill Jurgens clear this request through the Vice President for Student Affairs before presenting this request again.

2.       Request for additional web enabled Credit Card Transaction Forms – Admissions, WFIT, and Psychology. Although Admissions is now taking deposits over the web, (they have purchased software to secure their operation), this individual solution may not be the best or most appropriate solution for campus wide adoption. The committee recommends that all inquiries should be forwarded to the Financial Affairs Office, since no official policy has been created for university e-commerce.

3.       Portal awareness – An article describing portals and their function was distributed to the

committee.
