Policy Purpose
This Privacy Policy establishes how information is accessed, processed, and protected in connection with the One Florida Tech mobile application (“App”).
The App serves solely as a secure mobile interface to official University systems of record. This policy ensures transparency regarding data handling practices and affirms compliance with applicable federal and state laws, including the Family Educational Rights and Privacy Act (FERPA), where applicable, and applicable University data governance standards.
Policy Scope
This policy applies exclusively to the One Florida Tech mobile application and governs the handling of information accessed or processed through the App.
This policy does not replace or supersede the University’s general website privacy policy, data governance policies, or institutional records management policies. Institutional records remain governed by applicable University policies and legal requirements.
Policy Statement
The One Florida Tech mobile application does not independently create, store, sell, monetize, or maintain student, employee, or institutional records.
The App functions exclusively as a secure access mechanism to official University enterprise systems. All institutional data accessed through the App remains within authoritative University systems of record.
The University does not sell, trade, or monetize personal or institutional data accessed through the App.
Guidelines
Institutional Data Accessed Through the App
Following secure authentication using University-issued credentials, the App may display information maintained within official enterprise systems, including but not limited to Ellucian Banner and other authorized platforms.
Information accessible through the App may include:
- Student academic records
- Enrollment and class schedule information
- Financial account information
- Employee-related information (for authorized personnel)
- Campus service data
The App:
- Does not create new institutional records
- Does not alter official records
- Does not independently retain institutional records outside University systems
- Does not store copies of institutional records on mobile devices beyond temporary session display
All institutional records remain subject to Florida Tech’s data governance standards and applicable law, including FERPA where applicable.
Authentication and Access Controls
Access to the App requires secure authentication through University identity management systems.
Authentication processes enforce role-based access controls to ensure users can only view information authorized under University policy.
The App processes only the information necessary to verify identity and maintain secure access sessions. Authentication credentials are not sold, shared for advertising purposes, or used for commercial profiling.
Analytics and Technical Information
The App utilizes Google Analytics to collect limited technical and usage-related data for operational purposes.
Information collected may include:
- Device type and operating system
- Application version
- General usage statistics
- Aggregate engagement metrics
- Diagnostic and performance data
This information is used solely to:
- Evaluate overall App adoption
- Monitor performance and reliability
- Improve user experience and functionality
Analytics data is reviewed in aggregate form and is not used to evaluate individual students or employees. Analytics data is not combined with academic, financial, or employment records maintained in University systems of record.
Google Analytics processes data in accordance with its own privacy practices.
Data Retention
The App does not independently retain institutional records.
Institutional records accessed through the App are retained within official University systems in accordance with established retention schedules and applicable legal and regulatory requirements.
Analytics and technical data are retained in accordance with configured retention settings and operational requirements.
Third-Party Service Providers
The App is developed and supported using the Modo Labs mobile platform.
Modo Labs and any other authorized service providers operate as contracted service providers to the University and process information solely as necessary to provide authorized App functionality.
Service providers are contractually required to:
- Protect University data using appropriate safeguards
- Use data solely for authorized institutional purposes
- Refrain from selling, monetizing, or repurposing University data
- Promptly notify the University of any security incident affecting App-related data, consistent with contractual obligations
Security
Florida Tech implements administrative, technical, and physical safeguards designed to protect information accessed through the App, including:
- Encrypted data transmission (HTTPS/TLS)
- Secure authentication mechanisms
- Role-based access controls
- System monitoring and logging
While reasonable and appropriate safeguards are implemented, no system can guarantee absolute security.
Permissions
The App may request limited device permissions necessary to provide functionality, such as:
- Notifications for University alerts and communications
Permissions are used solely for legitimate institutional purposes and may be managed by users through their device settings.
Student Records (FERPA Notice)
Student education records accessed through the App are protected under FERPA and other applicable laws.
The App does not expand access to student records beyond what is authorized under University policy and applicable legal requirements.
User Rights
Requests regarding access to, or correction of, institutional records must be submitted through official University processes.
Because the App does not independently maintain institutional records, record-related requests are handled within authoritative University systems of record in accordance with applicable law and policy.
Enforcement
Violations of applicable University policies relating to the misuse of information accessed through the App may result in investigation under applicable University policies and procedures, and may include:
- Suspension of App access
- Revocation of University system access
- Disciplinary action in accordance with applicable University policies
Policy Changes
Florida Tech reserves the right to modify this Privacy Policy to reflect changes in legal requirements, technology, or operational practices.
The effective date listed at the beginning of this policy reflects the most recent revision.
