Faculty Resources

Workday makes it easy for faculty to view and manage their personal information, manage staff and student employees, and manage grants, plus take care of job-related business processes – all within one system.

New Faculty

You have likely used Workday to view open positions, apply for jobs, and take care of onboarding tasks, so you will want to get more familiar with the system’s other functionality, depending on your role. View Getting Started: The Basics Guide

Workday is Florida Tech’s system of record. Phase 1, launched in January 2021, includes Human Resources, Payroll, Finance, and Grants. Phase 2 will include Student records, Accounts Receivable, and Financial Aid – no launch date has been announced yet.

The Workday Resources SharePoint site has self-service training materials, including Job Aids, training videos, and PowerPoint presentations. Log in with your TRACKS info to access the materials.

Employee Self-Service

Faculty can manage their personal information within Workday, such as update emergency contacts and view tax information. The profile section in Workday houses all your personal information, and you can even upload a professional photo to complete your profile.

Additionally, Workday can be utilized as an employee directory, when needing to find contact information for other staff, faculty, adjuncts, GSAs, student employees, or contingent workers.

Compensation and Payroll

Faculty can view their salary and any additional compensation, view payslips, update direct deposit payment elections, and update W-4 information.

W-2 wage and tax statements for 2020 can be accessed in PAWS.

Current employees can view and print their 2021 W-2s from ADP using a passthrough link in Workday.

Benefits

Eligible faculty can view benefit information for themselves and eligible dependents, as well as update beneficiaries. Faculty can add or change benefits for themselves or eligible dependents due to a life event such as marriage, divorce, birth or adoption, just to name a few. 

Beginning February 2021, all eligible faculty will participate in Open Enrollment and can change benefit elections in Workday.

Time Tracking and Absence

Faculty will not need to enter a timesheet in Workday. 

Faculty will only need to enter absence requests for time off, such as vacation time, sick time, anniversary or floating holidays. 

Faculty who manage staff can approve timesheets and staff absence requests. 

Faculty who manage students can approve student timesheets bi-weekly. Students are not offered vacation or sick time, so this will need to be tracked outside of Workday.

Recruiting and Employment

All recruiting activities, including job postings, applications, background checks, hiring, and onboarding, take place in Workday. Faculty who are also managers can recruit and hire new staff or student employees.

Workday can parse an applicant’s résumé, saving time entering data.

Managers can review candidates and move desired candidates forward.

Academic

Faculty can view their academic information, including current appointments, contracts, track, and tenure.

Grants

Faculty who manage grants can view their grant financials, including budgets and expenditures.

Former Faculty

Former employees can view and print their 2021 W-2s by visiting the ADP website and following this 2021 W-2 Job Aid.
