Post-Award Administration

Post-award administration involves shared responsibilities between OSP and PIs to ensure that sponsored projects are conducted ethically, efficiently and in compliance with sponsor and university requirements. The following outlines key duties for each party.

OSP Role

Reporting and Financial Oversight

  • Prepare financial and other non-scientific reports to sponsors
  • Assure reimbursement of project expenditures

Compliance and Coordination

  • Monitor for compliance with sponsor and Florida Tech requirements
  • Coordinate award documentation and approval processes with supporting departments

Support and Communication

  • Provide training and support to departmental administrators
  • Respond to sponsor and university inquiries in a prompt, accurate and professional manner

PI Responsibilities

Research

  • Manage project personnel and oversee scope of work
  • Authorize payments to consultants and subrecipients
  • Ensure scientific integrity of the project
  • Report allegations of academic fraud or scientific misconduct
  • Ensure training in the responsible conduct of research
  • Comply with intellectual property policies and disclose inventions, discoveries, and improvements
  • Comply with the Federal Acquisition Regulation (FAR) requirements

Award and Administrative Oversight

  • Review/approve expenditures in coordination with research administration staff and in accordance with award terms
  • Certify Personnel Activity Reports
  • Complete interim and final technical reports
  • Submit continuation or renewal proposals promptly
  • Retain project data and materials as required
  • Update annual Conflict of Interest and prepare disclosure forms as required
